Job description

As Import Control Coordinator, you will be responsible for coordinating and managing all activities related to the Import Control System (ICS). ICS2 is a new European legislation. In connection with this new customs process 'introduction of goods' (ICS2), data must be processed and submitted via an automated system within a timeframe. You will also be responsible for all activities related to the Import Control System within WEC Lines and coordinating and managing the sailing schedules in the Odyssey platform.

This role requires a thorough knowledge of import regulations, strong coordination skills and the ability to communicate effectively with internal and external stakeholders.

Main tasks and result areas

  • Import process management : Coordinating all aspects of the import process, including gathering necessary documentation, submitting requirement formulation, tracking import shipment progress. Including:
    • Adjusting and maintaining various sailing schedules.
    • Preparing and sending ICS messages to relevant agents and customers on time.
    • Prepare and send ENS (Entry Summary Declaration) messages.
    • Check in KSD/Descartes and check production MRN numbers
  • ICS2 implementation : Implement and maintain the new EU version of the Import Control System, including establishing procedures for the correct use of the system. Training users of the system.
    • Call centre for questions on the in-house developed software (Odyssey).
  • Customs preparation : Ensure compliance with customs regulations and procedures when importing goods, including preparing customs documents and providing necessary information to customs authorities.
  • Stakeholder communication : Effectively communicate with internal stakeholders, such as Line Management Deep Sea and Short Sea, Disbursements Department, Operations Department and our agencies, as well as external stakeholders such as customs authorities.
  • Risk management :
    • Identify and manage risks associated with import activities, such as potential compliance issues or customs clearance delays, and implement mitigations to avoid these risks.
  • Data analysis and reporting : Analyse data on import activities to identify trends, evaluate performance and make recommendations for process improvement. Generate reports for management, Disbursements and Legal.
  • Regulatory compliance : Ensure compliance with all relevant laws and regulations related to imports, including customs regulations, trade agreements and safety regulations.

Profile

  • Excellent communication skills, both oral and written in Dutch and English.
  • With the ability to communicate effectively with various stakeholders.
  • Analytical thinking skills and ability to interpret data and make recommendations based on trends and analysis.
  • Familiarity with automated import control systems is a plus.
  • Strong coordination and organisational skills, with the ability to manage multiple tasks simultaneously.
  • Stress-resistant, oversee the process and continue to function effectively under time pressure.
  • HBO working and thinking level with at least a completed degree preferably in Logistics, International Trade or a similar discipline.
  • Experience with import processes and customs regulations, preferably in a coordinating role.
  • Familiarity with office systems. EXCEL ++.
